What a Useful Website Maintenance Handover Contains

A useful handover explains who owns the website, how changes are made, what is monitored, and how the team responds when something breaks.

A website handover is often reduced to a set of logins and a short screen recording. Those are useful, but they leave the team guessing when a renewal arrives, a form stops working, or an update changes the checkout.

A useful handover gives the next operator enough context to make routine decisions and enough direction to find help when the situation is unfamiliar. Treat it as part of delivery while the project knowledge is still fresh.

Record ownership and dependencies

List the domain, DNS, hosting, application, email delivery, analytics, payment services, backups, and external integrations. For each, identify the business owner, technical contact, renewal responsibility, and access process.

Include software licenses and the consequences of changing a supplier. A plugin may be installed under an agency account, or a font may have a license that the business needs to retain. Resolve ownership questions before the person who knows the answer becomes difficult to reach.

Keep credentials in the approved secure store and reference them from the handover. The document itself should remain safe to share with the people who need operational context.

Explain the ordinary change process

Describe how the team edits content, requests a design change, and deploys software updates. Identify which changes need review and which can be made directly by an authorized editor.

For a WordPress site, the official update guidance recommends taking a backup before upgrading. Build the project’s update procedure around a recoverable starting point, appropriate checks, and a clear person responsible for the result.

Document the environments and their purpose. Explain how a change moves from a test environment to the live site, what information can be used for testing, and how the team avoids sending test messages or transactions to real customers.

Define what “working” means

Create a short set of checks for the site’s important journeys. A marketing site might need a working navigation, a successful enquiry submission, and evidence that the enquiry reached the team. A store needs additional checks for product selection, checkout, confirmation, and operational records.

Use the same checks after significant updates. This makes routine verification repeatable and helps the next operator understand the reason behind each check.

Record known limitations and unfinished work with enough detail to act on. Include the affected page, the impact, the owner, and the intended next step. A vague note saying “performance could improve” is difficult to prioritize.

Make monitoring actionable

Explain what is monitored and what each alert means. A website being reachable does not prove that its form or payment workflow is functioning, so connect monitoring to the business tasks where practical.

  • Who receives the alert?
  • During which hours is it actively reviewed?
  • What should that person check first?
  • When does the issue move to a specialist?
  • How are customers or internal teams informed?

Agree on response expectations in the actual service arrangement. Do not allow a generic maintenance label to imply unlimited support or round-the-clock monitoring if those are not part of the agreed scope.

Include recovery and content operations

Reference the backup locations, retention decisions, last restore exercise, and recovery instructions. Identify who can authorize a restore and who validates the business data afterward.

For content, document how to add an article, prepare images, maintain useful headings, update navigation, and review a page before publishing. Use examples from the delivered site rather than leaving editors with a generic platform manual.

Include the publishing owner and a way to report outdated information. A maintenance process that updates software while leaving incorrect service details untouched still leaves work for the business.

Demonstrate the handover

Ask the receiving person to complete a normal task using the instructions: publish a draft update, locate an enquiry, or find the restore procedure. Observe where they get stuck and improve the document before signing off.
